Before day one
Nobicel’s self-onboarding sends the new hire a link to enter these themselves, so records are complete before they walk in.
- Signed offer letter and contract on file
- Ghana Card details captured for identification
- SSNIT number collected (or registration started for first-time workers)
- TIN captured — required for PAYE
- Pay method confirmed: bank account or mobile-money wallet, name-matched
Week one
- Register the employee with SSNIT if not already done
- Add them to payroll with the correct basic pay and allowances
- Enrol them in any benefits (life, health, Tier 3) so deductions start cleanly
- Give them access to the employee portal for payslips and time off
The first payday
Run payroll normally — the new hire’s PAYE and SSNIT are prorated for a partial month automatically. Check their payslip together once; a five-minute walkthrough of gross, deductions and net eliminates months of questions.
The mistakes to avoid
- Paying “cash for the first month” — it breaks your PAYE and SSNIT records from day one
- Skipping SSNIT registration for probationers — the law does not have a probation exemption
- Collecting documents by WhatsApp — they get lost; keep them on the employee record
